    CRM x WorkDrive: The WorkDrive-based file storage experience is now rolling out to existing users.

    Zoho is rolling out the WorkDrive-based file storage experience to existing users. A modern interface, advanced file management features, and more cost-effective storage are now available directly within your CRM.

    New users have been enjoying this experience for a while now, as mentioned in this announcement. It’s now available to you, too.

    You can schedule the migration by choosing a WorkDrive account and selecting one of the available slots. These are the two steps you need to take.

    At the scheduled time, the migration will take place automatically. The files and folders in the Documents tab and the attachments in the records will be transferred to WorkDrive.

    While your files and folders are being migrated to the Documents tab, that tab will be unavailable. However, you can continue to use the rest of the CRM throughout the process.

    We know this process took longer than expected, but we had to proceed with caution when replacing such a core feature of Zoho CRM. 


    How do I migrate?

    If you are an account administrator, you will see a pop-up when you log in.

    • Choose an available slot and read the pre-migration guide.
    • Select the WorkDrive account you want to connect to the CRM.

    If you don't have one, a free WorkDrive account with the Essential plan will be created automatically, which includes:

    • 5 GB of storage space
    • Additional storage space for each CRM user license, depending on the edition:
      • 512 MB per user (Standard and Professional)
      • 1 GB per user (Enterprise and Ultimate)

    You can schedule, reschedule, or cancel the migration by going to:
    Setup > Data Administration > Storage > File Storage


    Notifications for administrators

    All admins will receive emails and in-app notifications when:

    • The migration is scheduled, rescheduled, or canceled
    • The migration begins
    • The migration of files to the Documents tab is complete
    • The migration is complete

    What happens during the migration?

    • You can continue working in the CRM; the process runs in the background
    • The Documents tab will not be accessible during the file migration
    • Administrators will receive a notification once this phase is complete
    • You can check the status of the migration at any time
    • You will receive a notification when it is complete

    I still don't see this option. Why?

    The release is taking place gradually.

    It is currently available for:

    • standalone CRM users (not CRM Plus or Zoho One)
    • users who have not purchased additional storage

    If you use Zoho One, CRM Plus, or have purchased additional storage, this feature will be released shortly.


    I'm still using the old WorkDrive extension: what should I do?

    The old extension has been removed from the Marketplace because future updates will only be made to the new CRM-WorkDrive integration.

    However, we know you may have complex workflows based on the old extension:
